Executive Administrative Assistant

Position Summary:

Provide Administrative support for the President of North America and Vice President of sales and marketing, as well as providing administrative support to other division level associates. 

 
Primary Responsibilities Include, but are not limited to the following: 

  • Schedule and organize activities such as team meetings, business and personal travel.
  • Create letters, correspondence, formal e-mails and visual presentations. Review, organize and prioritize mail, faxes, e-mails, phone calls and general information. Take messages, field/answer all routine calls.
  •  Greet and sign in visitors and direct to appropriate associate. Arrange meeting space set-up, food, etc. as needed.
  •  Interact appropriately with customers/vendors via phone, email, and fax. Answer phone calls that flow through the switchboard.
  • Order and maintain office supplies and equipment as necessary.
  • Date, sort, and distribute daily mail and faxes. Log and distribute incoming overnight and same day packages.
  • Organize and maintain office supply room, coat closets, copier/fax room, conference rooms, as needed, etc.
  • Review and ensure vendor invoices are paid. Maintain vendor invoice spreadsheet. 
  •  Create and submit expense reports.
  •  Maintain a safe working environment and work in a safe manner consistent with company policies and common safety practices.
  • Support a culture of relentless pursuit of continuous improvement through high performance in a people driven culture.
  • Model the Corporate Values and Principles.
  • Execution of corporate housekeeping policy while holding associates accountable.
  • Assist with administrative needs; assemble kits and communication materials.
  • Gather, track, and manage legal contracts and reports.  Prepare and submit weekly director reports and schedules. 
  •  Assist in the on-boarding process, Leadership Development Training, and all other general HR requests.
  • Maintain and stock all customer conference rooms daily. 
  • Create and maintain expense reports for executives. 
  • Uphold a strict level of confidentiality. 
  • Organize, prepare, and provide documentation for meetings.  Create staff meetings notes.

Qualifications Requirements:

  • Be literate in Microsoft applications such as Word, Excel, PowerPoint, Access
  • Articulate clear and persuasive communication, both verbally and written
  • Be able to perform basic mathematical calculations
  • Perform administrative support at an executive level
  • Be able to communicate to people at all levels in the organization
  • Manage technical and specialized work methodically and efficiently, meeting work demands and deadlines.
  • This is a Temp-to-Hire position.
